Take the calls you miss in a week. Take the share of them that were new customers rather than suppliers or wrong numbers. Multiply by what a customer is worth to you.

For most service businesses the answer is uncomfortable, and it is uncomfortable every week. This is the one problem in your business where the loss is invisible, repeats forever, and has no line on the profit and loss.

Why the text-back does not work

An automated text after a missed call is better than nothing, and that is the strongest thing that can be said for it.

Somebody who dialled your number wanted to talk. They had a problem, a timeframe, and questions. Sending them a link to a booking page asks them to do the work you were supposed to do, using the channel they specifically chose not to use.

They are also, at that exact moment, dialling the next company on the list. A text arriving four minutes later reaches somebody who is already mid-conversation with your competitor.

The recovery

  1. The call comes in and is not answered — by you, by your staff, or by anyone. Because we run the line, we know instantly rather than being told later.
  2. It calls straight back — within moments, from your number, so the caller ID is one they recognise.
  3. It opens honestly — apologises for missing them, and asks what they need.
  4. It handles the actual enquiry — answers questions from your knowledge base, checks availability, books the appointment.
  5. It escalates if it should — an emergency, an existing customer with a problem, anything above your threshold goes straight to a person with the context attached.
  6. It logs the recovery — the miss and the recovery both land on the record, so recovered revenue is a number you can see rather than a feeling.
  7. If they do not answer — a text with a booking link, one more attempt later, then flagged for a human. It stops when it should.

What if it was a wrong number or a supplier?

It works that out in the first few seconds and closes politely without wasting anyone’s time or your minutes.

What if they answer and want a person?

Immediate transfer to whoever you nominate, with the context attached so nobody has to start again.

Is calling somebody back automatically legal?

They called you first, which is the relevant fact. We record the interaction, honour opt-outs immediately, and will not re-dial a number that has asked not to be called.

Can I turn it off for certain numbers or times?

Yes — by number, by time of day, or by day of week.
